What fails is weekly meetings with monthly data: reporting should be frequent and meetings rare. We send written updates weekly and hold live reviews bi-weekly.\n\n## The short version\n\n- **Weekly in writing, monthly in depth.** The written note watches operations; the deep dive makes decisions.\n- **Frequency belongs to data, not meetings.** Meetings on a weekly clock fill themselves with noise to justify the calendar slot.\n- **Amazon moves on a weekly rhythm.** Stockouts, suppressed listings, and hijacked buy boxes do a month of damage in days.\n- **Monthly-only reporting hides drift.** Four bad weeks read as one bad month, after the window to react has closed.\n- **The client hour budget matters.** Our clients spend about 2 hours a month on us after onboarding, which the cadence below is built around.\n\n## What I learned reading reports from the other side\n\nBefore founding Flapen I ran data and technology at BRANDED and Moonshot Brands, two of the big Amazon aggregators, which meant sitting on the buying side of a lot of agency reporting. The pattern was consistent. Agencies that reported monthly always had a story, because a month is long enough to write one. Agencies that reported weekly in writing had less polish and far fewer surprises, because nothing had four weeks to fester in silence. I built our cadence directly from that experience, and this page is that cadence.\n\n## The reporting stack, in order\n\nEach layer has a job and a gate: the condition that escalates an item to the layer above.\n\n1. **Continuous: self-serve dashboard access.** You can look any day. Gate to the next layer: nothing, this layer exists so that nobody ever has to wait for a meeting to see a number.\n2. **Weekly: the written update.** Sales, spend, efficiency, inventory position, and what changed, in writing, in Slack. Written matters: prose commits the sender to claims that a slide deck can blur. Gate: any metric moving against target for two consecutive weeks gets flagged with a cause and an action, not just reported.\n3. **Bi-weekly: the live review.** A working session on the flagged items. Short, because the writing already happened. Gate: anything requiring money, catalog, or strategy changes is queued for the monthly decision review.\n4. **Monthly: the decision review.** Budget shifts, pricing moves, product-line calls, marketplace expansion. This is the meeting where the owner needs to think, which is why it should not be diluted forty-eight times a year.\n5. **Quarterly: direction.** Portfolio shape, capital allocation, and whether each product is still worth its shelf space.\n\nThe stack respects everyone's time asymmetrically. Operators produce weekly; owners decide monthly. Creative, pricing, and product decisions judged weekly produce whiplash, because one week of Amazon data is mostly noise. The same decisions judged only quarterly produce drift. The monthly layer exists precisely for them.\n\n## What most reporting decks will not tell you\n\nA deck can be technically accurate and still hide the trend, and the mechanism is averaging: a month that opened strong and decayed every week reads as a decent month. The question that cuts through any reporting cadence is direction inside the period. Ask your agency to show the weekly trajectory within the monthly number. If they cannot produce it, the monthly report is a curtain, not a window.
